Job Purpose

This role will oversee HR functions for the KSA branch, serving as the main point of contact for employees. Responsibilities include efficiently handling employee inquiries and requests, fostering a supportive HR environment, and ensuring high satisfaction throughout each stage of their journey with Bespin.

Job Description

Onboarding
• Guide New joiners through the transition period until the day of joining.
• Manage all communications with the new joiners and ensure all their inquiries are attended and resolved.
• Administrate the internal joining notification.
• Coordinate with stakeholders to ensure Day 1 readiness is completed prior to the joining.
• Ensure all pre-joining requirements and documents are completed as per onboarding process.
• Conduct the new joiner orientation including office tour and plan their Business Orientation.

Visa Process
• Administrate the visa process including new visa, visa renewal, entry & exit visa and visa cancellation.
• Coordinate with PR agency to get the regulation updates and amendments on regular basis.

Medical Insurance 
• Administrate the addition and deletion under the medical insurance policy of Bespin for the region. 
• Handle employee inquiries and direct them to the right channel 
• Handle the annual medical & life insurance renewal process.

System & Record Management 
• Create and Update employee records in HR system in timely manner. 
• Maintain the employees files as per the internal guidelines.
• Track & inform employees contract expiration to LM & Head of Employee Experience for renewal or cancellation.
• Administrate the Pension process which include enrollment, deletion and salary maintenance. 
• Coordinate with Finance to furnished them with the Pension invoice and track the pension payment. 

Offboarding
• Support in the offboarding process as per the internal procedures in coordination with the process stakeholder.  
• Provide the needed support to the leavers to finalize the exit procedure. 

Government Relations & Compliance Support 
• Manage Qiwa, GOSI, Muqeem, and Riyadh Chamber accounts to ensure timely updates, employee registrations, renewals, and compliance with Saudi labour regulations.
• Coordinate with government platforms to streamline employee onboarding and offboarding, ensuring alignment with legal and regulatory requirements.
• Monitor and manage government-related processes, including Saudization, expat quota compliance, and maintaining records for inspection readiness.
• Maintain accurate records and filings for GOSI, Qiwa, and Muqeem systems, regularly updating employee status and handling inquiries related to government portals.

Compliance 
• Comply with the company’s Information Security Management System (ISMS) and ISO 27001 requirements, and actively participate in regular training and audits to ensure continuous alignment with the standard

Job Specification

Education 
• Bachelor's Degree of Business Administration/ Human Resources 

Professional Certifications
• Certified in KSA Labor Law (Preferred) 

Knowledge
• Fundamental understanding of KSA Labor Law
• Microsoft Software: Word, Excel, Teams, Outlook and PowerPoint
