Job Purpose

The Project Coordinator is responsible for supporting project management activities, ensuring smooth execution of tasks, maintaining project documentation, and assisting project teams to achieve their desired objectives. 

Job Description

Project Planning and Support
• Assist the PMO Lead in planning, scheduling, and monitoring project activities.
• Maintain and update project documentation ensuring it reflects the latest project progress. 
• Monitor project timelines and proactively communicate with stakeholders to mitigate project delays.
• Assist in maintaining basic resource management and records. 
• Independently manage small-scale projects, ensuring proper planning, execution, and stakeholder coordination while adhering to project timelines and standards.  

Communication and Coordination 
• Build a strong reputation and start to serve as the primary point of contact for small engagements. 
• Act as a liaison between project teams and internal stakeholders, ensuring clear communication and timely resolution of queries or misunderstandings.
• Address basic project-related queries from cross functional team members and escalate issues to PMO Lead when needed. 

Governance and Compliance 
• Monitor critical deadlines, especially those with financial or contractual implications, and escalate delays promptly to the PMO Lead with potential impact analysis.
• Monitor compliance with Bespin’s project management standards and tools, reporting any deviations. 
• Assist in preparing audit documentation and tracking KPIs and project performance summaries. 

Data and Tools Management 
• Manage project data through various platforms like SharePoint, MS Office, MS Teams, PowerBI Dashboards, project management tools, ensuring data accuracy and accessibility. 
• Analyze historical project data to identify trends, patterns, and lessons learned, contributing to better forecasting and decision-making. 
• Customize reporting formats to suit different stakeholder needs, ensuring clarity, relevance, and actionable insights. 

Compliance 
• Comply with the company’s Information Security Management System (ISMS) and ISO 27001 requirements, and actively participate in regular training and audits to ensure continuous alignment with the standard

Job Specification

Education 
• Bachelor’s Degree in Business Administration, Information Technology, or a related discipline. 

Professional Certifications
• PRINCE2 Foundation (Preferred) 
• PMP (Preferred) 
• ITIL Foundation (Presentation) 

Knowledge 
• 1-3 years of experience in project coordination or similar roles within the IT industry. 
• Proven ability to thrive in a very dynamic, fast-paced environments and adapt to shifting priorities. 
• Proficiency with project management tools (e.g., Trello, MS Project, Jira) and collaboration platforms (e.g., SharePoint, Teams, OneDrive). 
• Working knowledge of project management methodologies such as Waterfall, Agile, and Kanban. 
• Basic understanding of cloud technologies and platforms (AWS, Azure, Google Cloud). 
• Exceptional communication and interpersonal skills, with a flair for stakeholder management. 
• Adept at crafting professional presentations and status reports using MS Office tools (Excel, PowerPoint, Word).
